Privacy policy
This policy explains what personal information Quantum Built collects, why, how we look after it, and how you can see or correct it. It covers our website quantumbuilt.com.au, and enquiries made by phone, email or in person.
What we collect
When you make an enquiry or become a client, we may collect:
- your name, phone number, email address and suburb
- the address of the property you want to build on or renovate
- details about your project: what you're planning, your plans or drawings, budget and timing
- anything else you choose to tell us in your message, emails or calls
- for clients: the information needed for contracts, invoices, council approvals, insurance and warranties
When you visit our website, we, Google, Meta and Microsoft may also collect technical information through cookies and similar tools. That covers your device and browser, pages visited, how you reached the site (for example from a Google or Facebook ad), and your approximate location. We can't see who you are from it.
We don't knowingly collect sensitive information, such as health or financial hardship details. Please don't include it in an enquiry unless it matters to your project.
How we collect it
Mostly from you: through the enquiry form on our website, by email, by phone, at a meeting or on site. Sometimes from others with your knowledge, such as your architect, designer, a person who referred you, or council records about a development application for your property.
Why we use it
- to reply to your enquiry and give you advice or a quote
- to design, get approval for and build your project, and to keep you updated
- to manage contracts, invoices, warranties and insurance, and to meet our legal obligations
- to keep a record of enquiries and projects, so we can follow up and so our team knows the history of your job
- to understand how people find our website, and to improve our website and advertising
- to send marketing emails, as explained below
We won't sell your personal information.
Marketing emails
We sometimes send marketing emails, and in future may send a newsletter, to people who have asked to hear from us or are existing clients. Every marketing email includes an unsubscribe link. If you unsubscribe or ask us to stop, we'll stop within 5 business days. Opting out doesn't affect messages about a project you have with us.
Who we share it with
We share only what's needed, and only for the purposes above:
- trades, suppliers, architects, engineers, certifiers and town planners working on your project
- councils and government authorities, where approvals or the law require it
- our insurers, lawyers and accountants
- the online services we use to run the business, listed below
Online services we use, and where your information may be stored
Like most businesses, we use online services that store or process information on servers that may be outside Australia:
| Service | What it's used for | Where it may be stored or processed |
|---|---|---|
| Microsoft 365 | Our email (info@) | Australia and other countries |
| Airtable | Our record of enquiries, clients and projects | United States |
| Resend | Delivering website enquiries to our inbox | United States |
| Software that helps us sort enquiries and prepare replies | Organising enquiries and drafting responses for our team | United States |
| Vercel | Hosting our website | United States and other countries |
| Google (Analytics, Ads, Tag Manager) | Measuring visits and our advertising | United States and other countries |
| Meta (Facebook and Instagram) | Measuring and showing our advertising | United States and other countries |
| Microsoft Clarity | Seeing how visitors use our website, to improve it | United States |
| Elfsight | Showing our Instagram posts on our website | United States and other countries |
We choose established providers that protect the information they hold. By making an enquiry, you understand your information may be handled overseas by these services.
Cookies and advertising
Our website uses Google Analytics and Google Ads to see how visitors use the site and which ads lead to enquiries. They use cookies. You can block or delete cookies in your browser settings, and you can turn off personalised Google ads at adssettings.google.com. The website still works without cookies.
We also use the Meta Pixel, which tells Meta (Facebook and Instagram) when someone visits our site or sends an enquiry, so we can measure our ads and show them to people likely to be interested. You can choose whether Meta uses this to show you ads in your Facebook or Instagram settings at facebook.com/adpreferences. And we use Microsoft Clarity, which records how visitors move around our pages (clicks, scrolling) so we can see what's working and fix what isn't. Blocking cookies in your browser, or using a tracker blocker, limits what both can collect.
Our home page shows our latest Instagram posts through Elfsight. When that section loads, Elfsight and Instagram may set cookies and receive technical information about your visit, such as your browser and IP address.
How we keep it safe, and for how long
We keep your information in password-protected systems with access limited to our team and the services above.
If your enquiry doesn't go ahead, we keep your details for up to 24 months, then delete them or remove anything that identifies you. If we work together, we keep project records for as long as we need them for the project, warranty and legal record-keeping.
Seeing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, at any time. Contact us using the details below. We'll respond within 30 days. We may need to confirm who you are first. If we can't give you access or make a correction, we'll tell you why.
